TERMS OF REFERENCE
CANADIAN INSTITUTE FOR PROCUREMENT AND MATERIEL MANAGEMENT (CIPMM)
REGIONAL/CHAPTER EVENTS COMMITTEE
The Canadian Institute for Procurement and Materiel Management will establish a Regional/Chapter Events Committee to provide advice, and guidance to the CIPMM Board of Directors with respect to needs of the Procurement and Materiel Management community and strategies and plans to continuously improve and evolve CIPMM to meet these changing needs.
The Committee will be responsible to promote learning and/or networking forums within the procurement and material management communities. The committee will incorporate other existing CIPMM Chapters (ON and BC Chapters) to encourage a comprehensive and collaborative approach across the country. Their goal will be to make CIPMM offerings even more relevant to a larger stakeholder community.
It will look to:
- Build Communities of Practice within the Materiel Management and Procurement professionals.
- Work to grow participation and add value to the Community. Create awareness of CIPMM and support that such an organization can offer.
- Bring ideas from community forward to the CIPMM Board of Directors and other Committee structures as appropriate.
From time to time, the CIPMM Board of Directors and other Committees may use this group as a sounding board to test ideas and/ or may assign special initiatives to the Regional/Chapter Events Committee.
The Committee will be comprised of up to 12 interested individuals, with a composition of 10 from within the public sector and 2 others from the private and/or educational sectors, and current Chairs for existing Chapters in BC and ON.
The Committee will meet/teleconference on a quarterly basis starting in the Fall of 2013 or as required as determined by the Chair.
Mandate: To create opportunities for individuals in the procurement and material management communities to learn, interact, share knowledge and ideas.
Co-Chairs:
- Create a Regional/Chapter Events Committee, serve as its Chair, assign tasks, hold regular meetings to share knowledge and monitor progress;
- Adhere and monitor allocated budget and respond to hospitality requests from ON and BC Chapters;
- Monitor and keep knowledgeable about the activities of the Committee;
- Be an ex-officio member of Standing Committees as required;
- Manage all Regional/Chapter Events Committee meetings, including:
- Ensure meeting time and location are arranged
- Prepare agenda
- Chair meetings
- Ensure minutes of meetings are kept, distributed, submitted for approval and archived.
- Participate as a member of the CIPMM Board of Directors; and
- Represent CIPMM at conferences, meetings, etc. as requested by the CIPMM President.
The Regional/Chapter Events Committee members will:
- Bring his/her own knowledge, expertise and ideas in the areas under the Canadian Institute for Procurement and Materiel Management – Regional/Chapter Events Committee Chair’s mandate and socialize concepts and ideas that are adopted;
- For CIPMM matters, act as CIPMM representatives, instead of as representatives of their respective department, chapter, province, municipality or corporation; and
- Contribute to the tasks, the analysis and development of recommendations to the Canadian Institute for Procurement and Materiel Management’s – Regional/Chapter Events Committee Chair initiatives.
- Assist with implementation of ideas and strategies approved by the Board
Member activities:
- Advise and assist the Regional/Chapter Events Committee Chair in initiatives to promote CIPMM to the stakeholder base and affiliated organizations;
- Active participation at Committee’s meetings, and other initiatives as required;
- Contribute his/her ideas and opinions on the approaches to improve the value add and deepen the relationship with CIPMM stakeholders
- Provide support, deliverables and direction for Committee’s initiatives associated with the Regional/Chapter Events Committee Chair’s mandate.
